Job Description:

National geo-technical engineering firm is seeking a bright new employee to assist the engineering dept. Applicant will provide administrative support, manage files and information for Project Manager and team, track group metrics, including budget data, employee data, training data (i.e. financial reports from SAP, datasheets in MS Excel) and:

?Schedule and coordinate logistics for meetings/training events, activities and functions, including arranging for conference rooms and audio-visual requirements, sending meeting invites, order catering, compiling agendas, and attending meetings to scribe and report on action items

?Document handling and record keeping including: time sheets, general/technical filing, photocopying, scanning, printing, collation, logs, report binders, etc.

?Prepare /draft correspondence, letters, e-mails, prep documents for meetings, compile training materials, etc.

?Maintain team information: distribution/phone/address/vendor lists, vacation schedule, training compliance, birthdays

?Reconcile and allocate charges as appropriate on Procard, invoice processing, etc.

?Coordinate travel logistics utilizing Global Travel Link, prepare detailed itineraries and provide background information for meetings and trips

?Assist staff with procurement of office supplies, business cards, corporate credit cards, phones, security cards and IT equipment and services

?Maintain calendars, weekly/monthly/annually

?Provide technical assistance for group: Assist with data compilation and data analysis and with generating presentation slides and other materials.

?Provide vacation relief and project support to other Administrative Assistants, as needed.
