TITLE: PAYROLL ADMINISTRATOR FLSA STATUS: NON-EXEMPT REPORTS TO:
PAYROLL AND AP MANAGER SUMMARY: Under the direction of the Payroll
and AP Manager, the Payroll Administrator is responsible for all
payroll related functions, including preparing and processing the
bi-weekly payroll for all exempt and non-exempt employees including
garnishments, benefits, Federal, state, and local tax withholdings,
and off-cycle requests. In addition, the Payroll Administrator
ensures compliance with all Federal, state, and local tax laws and
regulations; reconciles and reviews annual and quarterly payroll
tax returns; inputs new hires, terminations, employee changes in
status, updates and audits employee vacation and sick time
balances; responds to Employment Development Department (EDD)
requests for information or audits; and compiles and creates
various reports. This position is located in Milpitas, California.
ESSENTIAL FUNCTIONS:
- Prepares and processes the bi-weekly payroll for all exempt and
non-exempt employees including garnishments, benefits, Federal,
state, and local tax withholdings, and off-cycle requests
- Ensures compliance with all existing Federal, state, and local
payroll tax laws and regulations regarding employer pay
practices
- Reconciles and reviews annual and quarterly state and Federal
payroll tax returns; may amend payroll tax returns if required
- Inputs new hires, terminations, and employee changes in status;
updates and audits employee vacation and sick time balances
- Responds to EDD requests for information or audits
- Complies and creates various reports on a weekly, monthly, or
quarterly basis; reviews and audits against Human Resources
Information System (HRIS) to ensure data continuity and
integrity
- Responds to requests from employees and departments; responds
to requests for information from outside agencies and auditors
- Overtime may be required contingent on business needs
- Adheres to all safety policies and procedures as required
- Performs other duties of a similar nature or level MINIMUM
QUALIFICATIONS:
- Associates Degree in Accounting or Business Administration
and/or equivalent relevant experience
- Three years of experience working in accounting in a payroll
administrator or analyst role for a mid-sized company
- Proficient in the use of Paycom
- Proficient in the use of Microsoft Office Applications
Knowledge, Skills, and Abilities:
- Knowledge of payroll principles, practices, and techniques
- Knowledge and ability to process a full cycle payroll for
exempt and non-exempt employees
- Knowledge and ability to use Paycom to process payroll
- Knowledge of current Federal, state, and local tax laws and
regulations as they relate to payroll processing
- Knowledge and ability to use Microsoft Office applications to
create spreadsheets, Word documents, and presentations
- Able to communicate effectively, both verbally and in writing,
with all levels of contractors, consultants, employees, and
management
- Able to work productively and collaboratively with all levels
of employees and management
- Able to comply with all safety policies and procedures
- Demonstrated analytical and critical thinking skills
- Demonstrated organizational and time management skills
- Demonstrated problem-solving and trouble shooting skills
- Flexible and able to prioritize The hourly rate for this
full-time position is between $22.99-$41.73 + bonus target +
benefits. Within the range the individual pay may differ depending
on additional factors including job responsibilities, job related
knowledge, skills, abilities, education, and experience. The hourly
pay range shown is subject to change and may be modified
periodically. WORKING CONDITIONS: The Payroll Administrator works
primarily in an office environment from Monday thru Friday. The
schedule may be altered from time-to-time to meet business or
operational needs; may travel from building-to-building as needed.
Spends a majority of time in a seated position, but occasionally
stands and walks; performs various fine grasping movements, bends,
and twists; operates a computer and enters information using a
keyboard, operates a telephone, and other office equipment. May
occasionally be required to push, pull, or lift up to 10 pounds.
